Refund Policy

This Refund Policy explains how refunds work for paid subscriptions to Docu-Coach (“we,” “us,” or “our”). It supplements our Terms and Conditions. Capitalized terms not defined here have the meanings given in the Terms.

1. Subscription plans

Docu-Coach offers monthly subscription plans for organizations (for example, plans based on the number of employees documented in the Service). Pricing and plan features are described on our website and in your order confirmation or invoice. Unless stated otherwise in writing, subscriptions renew automatically each billing period until canceled.

2. Free trials and evaluations

Every plan includes a 30-day free trial with full access to the Service. If you cancel before day 31, you will not be charged for that trial period. If you continue using the Service after the trial converts to a paid plan, standard billing and this Refund Policy apply.

3. General refund approach

Because the Service is delivered digitally and access begins when your account is provisioned, fees are generally non-refundable once a billing period has started, except as described below or where required by law.

We may, at our discretion, provide a refund or credit when:

  • You were charged in error (duplicate charge, wrong amount, or charge after a confirmed cancellation);
  • The Service was unavailable for a material portion of the billing period due to a fault on our side (not including scheduled maintenance, internet outages, or third-party provider issues outside our control);
  • You cancel within seven (7) days of your first paid subscription charge and have not materially used paid features (for example, extensive incident logging, exports, or AI processing beyond a brief evaluation)—contact us promptly at hello@docu-coach.com.

4. Cancellations

You may cancel renewal at any time by emailing hello@docu-coach.com from your account email or the billing contact on file. Cancellation stops future charges; it does not automatically refund the current period unless eligible under Section 3.

After cancellation, you may retain access through the end of the paid period unless we agree otherwise. We may delete or restrict access to Customer Content after a reasonable retention window following account closure, as described in our Privacy Policy.

5. Annual or custom billing

If you pay annually or under custom terms agreed in writing, refund treatment for unused months may be specified in your order form or statement of work. Where not specified, we may offer a prorated credit for unused full months if you cancel for reasons within Section 3, at our discretion.

6. Third-party fees

Your use of optional integrations (for example, your own OpenAI API key) may incur separate charges from those providers. We do not refund third-party fees.

7. Chargebacks

If you believe a charge is incorrect, contact us before initiating a chargeback so we can resolve it quickly. Unwarranted chargebacks may result in suspension of the account pending investigation.

8. How to request a refund

Email hello@docu-coach.com with:

  • Organization name and account email;
  • Date and amount of the charge;
  • Reason for the request.

Approved refunds are processed to the original payment method when possible, typically within 5–10 business days depending on your bank or card issuer.

9. Changes

We may update this Refund Policy from time to time. The effective date at the top of this page will reflect the latest version. Continued use of a paid plan after changes constitutes acceptance of the updated policy for future billing periods.
